For the proactive administrative professional, this is your opportunity to be on the G4S ground floor team as we embark on an exciting new contract with the Department of Homeland Security (DHS), Immigration and Customs Enforcement (ICE). This is a key contract and we anticipate this to be a transformational force in our continued growth. As Subcontractor Administrator, your two-fold mission is to:
- Ensure compliance with all reporting requirements related to subcontractors, such as guidelines from the Small Business Administration (SBA), Minority Business Development Agency (MBDA), and others. You will serve as the single point of contact for subcontractors regarding contract and reporting issues.
- Serve as an administrative assistant to our Deputy Program Management Director.
With an abundance of organization and razor-sharp attention to details, you'll not only handle the day-to-day administrative details regarding the contract and the subcontractors, but also be able to grasp the big picture impact of your activities. What Else You'll Bring to the Table
In addition to the qualifications detailed above, you must have:
- US citizenship.
- High School Diploma; Bachelor's degree is preferred.
- 2-5 years of professional administrative experience; ideal candidate will have contract administration background with SBA, MBDA or similar government or private agency.
- Working knowledge of various aspects of government procurement processes, proposal preparation, contract types and other contractual requirements.
- Understanding of Federal Acquisition Regulations (FAR) including various contract pricing arrangements.
- Solid analytical and problem-solving skills.
- Excellent interpersonal & communication skills.
- Strong organization and multi-tasking capabilities.
- Ability to work well in a team environment but also independently with minimal supervision.
- Computer proficiency in a Microsoft Office suite environment.
Our contract with DHS ICE requires that we conduct extensive suitability background checks, and they will conduct their own check of all candidates' suitability for entry on duty. To pass both checks, you will need, at minimum:
- A clean credit history and good current credit standing.
- A criminal record clear of felonies or misdemeanors of a moral or egregious nature.
- A clean driving record.
- A negative result on an initial drug screen and subsequent random drug tests.
With our technical and geographical infrastructure, along with proven success on our current ICE contract, we are positioned extremely well to be awarded and exceed the performance expectations of the Intensive Supervision and Appearance Program (ISAP II) contract scheduled to be awarded on July 20th, 2009. We will look to you to begin work with G4S on the ISAP II contract beginning August 3rd, 2009 and join our week-long training program in Dallas, Texas. You will play a key role in our company's expansion as a world-class government services provider.

Reporting directly to the Deputy Program Management Director (DPMD), you will join us at our Chicago office.
In a nutshell, you'll divide your time 50/50 between contract administration for subcontractors and routine administrative activities to support the DPMD. We currently have five subcontractors, but this group will likely grow over time.
In general, your responsibilities will be to:
- Manage overall contract compliance of subcontractor agreements to include: generation and maintenance of contract correspondence; company bid preparation; review and analysis of subcontractor proposals for narrative content; and cost analysis for vendor agreements.
- Maintain awareness of governmental, legal and procedural requirements as well as trends regarding procurement policies in order to effectively negotiate subcontracts.
- Adhere to compliance requirements and maintain audit-ready subcontractor files as well as ensuring subcontract compliance and ethical business practices consistent with government regulations and G4S company policies
- Maintain conformance with Federal SBA/MOBIS/Disadvantaged Business requirements and report as required.
- Collaborate closely with Program Management, accounts receivable/accounts payable, government personnel, subcontractors, and vendors.
- Prepare correspondence and status documentation for submission to the customer and prepare various status reports for management as directed.
- Provide administrative support to the Deputy Program Management Director.
